  • A Curriculum Vitae
  • Personal data about other named persons with whom we have your authority to speak. You must have their authority to provide their personal data to us and share this privacy notice with them beforehand together with details of what you’ve agreed on their behalf.

We use your personal information to provide our services in our capacity as a Law Firm and to act upon your instructions.

Whether information must be provided by you, and why?

The personal information as listed above must be provided by you to us, to enable us to act upon your instructions in the context of your claim. When we collect information from you, we will inform you whether you are required to provide this information to us.

Legal reasons we collect and use your personal information

We shall process your personal data as necessary to perform our contract for the relevant legal service with you, to take steps at your request before entering in to it. To decide whether to enter the agreement or to manage and perform the indenture and to update our records.

Who will we share your personal information with?

There may be third parties with whom we may share your personal data during the lifetime of your claim, but we will seek consent from you as and when they become relevant. This data sharing enables us to carry out our daily activities on your behalf, furthermore, it may be required to comply with legal requirements and the administration of justice.

How long will we store your personal data?

We will keep our file of papers (except for any additional documents which you ask to be returned to you) for no more than 6 years. We keep the file on the understanding that we have the authority to destroy it 6 years after the date you are notified that our file is closed. Your Rights

Under the General Data Protection Regulation, you have a number of important rights that you can exercise free of charge. In summary, these rights are:

  • Transparency over how we use your personal data and fair processing of your information;
  • Access to your personal information and other supplementary information;
  • Require us to correct any mistakes or complete missing information we hold on you;
  • Require us to erase your personal information in certain circumstances;
  • Receive a copy of the personal information you have provided to us or have this information be sent to a third party, this will be provided to you or the third party in a structured, commonly used and machine-readable format;
  • Object at any time to processing of your personal information for direct marketing;
  • Object in certain other situations to the continued processing of your personal information;
  • Restrict our processing of your personal information in certain circumstances;
  • Request not to be subject to automated decision making which produce legal effects that concern you or affect you in a significantly similar way;

We will respond to you within one month from when we receive your request. Please note if you wish to unsubscribe from any email you can do so by sending an email to dataprotection@hssolicitors.co.uk with the subject “UNSUBSCRIBE”. It may take up to 30 days for this to become effective. Please make sure that you include ALL email addresses, phone numbers and addresses which you want unsubscribing.

How to make a complaint?

We hope that you are happy with our service and that we our Data Protection Officer can resolve any issues or complaints that arise. Please get in touch if you have any concerns (see ‘Get in touch’ below).

The General Data Protection Regulation also gives you the right to lodge a complaint with a supervisory authority, in the European Union (or European Economic Area) state where you work, normally live or where the alleged infringement of data protection laws occurred. Our Security

We take the security of your personal information seriously. We have security measures in place to ensure that our paper and computer systems and databases are protected against unauthorized use, loss or damage.

Future Processing

We do not intend to process your personal information for any reason other than stated within this privacy notice. Should this change, we will inform you by letter or e-mail correspondence.
